Maestro of Multitasking (Office Coordinator)

Seeking a Maestro of Multitasking and Office Coordinator at Sydney’s longest running circus school, juggling a variety of diverse tasks, day-to-day.

You are charged with maintaining the magic behind the curtain in the Aerialize office. Welcoming students and staff as they arrive, respond to queries over the phone and email, master our CRM booking software like a boss, and keep things looking spick and span.  You will work closely with our Ringmaster (Operations Manager), where no two- days will be the same balancing administration, operations and marketing duties.

 

About Aerialize

Aerialize – Sydney Aerial Theatre is a long-standing and respected Australian circus arts organisation and training centre. For over 25 years, we have supported aerial and circus skills development from tiny tots to highly experienced performers, in demand the world over.  

We provide individual and group skills development, emerging artist’s professional pathways, performance opportunities and specialised industry training in our customised training centre.

We run classes year-round in, but not limited to, silks (tissue), lyra, static trapeze, acrobatics, corde lisse, chains, straps and handstands.  We also offer school holidays programs, bespoke school and community workshops. Performances are presented at Aerialize and off site, featured in festivals, community and corporate events. In addition to  offering venue hire and hosting birthday parties.

We love to strut our stuff and provide performers for birthday parties, corporate events, weddings, parties, anything!

About the Role

The Maestro of Multitasking (Office Coordinator) duties and responsibilities include:

  • Perform reception duties
  • Communicate with internal and external stakeholders, responding to queries over the phone, email and in person.
  • Manage bookings and scheduling on Aerialize’s CRM bookings software Clubworx.
  • Accept, process and reconcile payments as needed.
  • Ensure the space is clean, safe and maintained to a high standard.
  • Work alongside the Ringmaster and Operations Manager, supporting Aerialize staff and business operations.
  • Perform marketing duties such as social media posts, e-newsletters, and coordination and production of marketing collateral as needed.
  • Other administrative responsibilities as required.

This part-time role will be engaged at $31 per/hr on a casual basis (0.6 FTE or 3-days per week), with the potential to be ongoing. 

 

About You

Your experience ensures you are cool, calm and collected when spinning many plates in the air.  You excel under pressure with competing tasks demanding your attention.  Managing a bustling and busy space with daredevils dangling from the ceiling is your dream come true.

No formal qualifications are required, however experience in a similar role and love of performing arts, particularly circus will be an advantage, but not a deal breaker.

Your professional experience includes:

  • Superior executive management skills, scheduling, information management and meeting deadlines come naturally.
  • A highly skilled communicator and all-round super storyteller, motivated to increase awareness of Aerialize, attract new students, and increase utilisation of the training space.
  • Ability to work independently, prioritising work with minimal supervision.
  • Champions collaboration and is comfortable working in a small team.
  • Advanced working knowledge and practical skills using G-Suite is essential. Prior experience with Canva, Mailchimp and Clubworx are highly desirable.

We are a small and nimble, NFP arts organisation with a heart of gold.  We celebrate differences and inclusivity, and put these values into practice each day.

While there is some flexibility in our working hours, the office is open Monday to Saturday and requires hours worked across these days.  Days/ hours for this role can be flexible, based on the applicant. From time to time, we present Aerialize events in the evening/weekends and encourage attendance to support our community of emerging and established artists.
